Parent Guide

Step-by-step help with signing in, booking appointments, and managing your family's conferences. The examples below use sample names, not your real account.

Getting started

Accessing Conferences

Conferences is the district's site for booking parent-teacher conferences. You'll sign in with the email address the district has on file for you.

    Open the sign-in page

    Go to your district's Conferences link (this is usually emailed to you, or shared on the school's website). You'll land on the sign-in screen with three options: Parent, Teacher, and Administrator.

    Choose "Parent"

    Select the Parent card to open the parent sign-in panel.

    Sign in with your email and password

    If your school district emailed you an activation link, follow it first to set your password. After that, you'll sign in here directly. A "Sign in with Google" option may also appear if your district has enabled it.

The main event

Booking appointments

Booking lives on the Book Appointments page in the left-hand menu. It's laid out as a grid: your child's classes run across the top, and the day's available times run down the side.

    Pick a child and a day

    If you have more than one student, pill buttons above the grid let you switch between them (e.g. Liam, Noah, Oliver). Day pills let you switch between the conference dates the district has scheduled, e.g. Mon 15 and Tue 16.

  2. 2

    Find an open time

    Each column is one of your child's classes with a teacher's name at the top (e.g. Jessica Miller, Math). A dashed outline means that time is open. Grey, unlabeled cells are already taken or unavailable.

    Choose In Person or Virtual

    Click an open time and it splits into two choices. Pick In Person to meet at school, or Virtual to meet over Google Meet. Only the types the teacher has made available for that time will appear.

    It's held, not booked yet

    Your selection is placed on hold, usually for a few minutes, with a countdown shown in a bar at the top of the page, while you keep browsing. This gives you room to line up appointments for more than one class, or more than one child, before committing.

  5. 5

    Review & Confirm

    When you're ready, click Review & Confirm in that same bar, check the list of held times, and click Confirm All Appointments. Only then are the times actually booked. If the countdown runs out first, held times are released back for other families.

Classes with two co-teachers: some classes are taught jointly, so booking one time meets with both teachers together in a single appointment. You don't need to book each teacher separately.

Booking is only open while the district's conference window says Open at the top of the grid. Outside that window the grid shows when it opens or closes instead of times to pick.

Dashboard overview

Signing in takes you straight to My Children, a quick summary of your family's conferences.

    Four stat tiles

    Upcoming and Past count your booked appointments. My Students counts children linked to your account. Next Appt shows the date and teacher of your soonest conference. Click any tile to jump straight to your appointments.

  2. 2

    A district announcement (if there is one)

    If the district has posted a login page or dashboard message, such as a reminder about deadlines or a schedule change, it appears as a banner just below the page title.

  3. 3

    My Children

    A table listing every student linked to your account, their grade and school, and their next scheduled conference. Click Book next to any child to jump directly into the booking grid for them.

Keeping track

Viewing your booked schedule

Everything you've booked lives on My Appointments. There are two ways to look at it: a List view and a Matrix view, plus tabs for Upcoming, Past, and Cancelled.

    List view (default)

    One row per appointment: student, teacher and subject, date and time, and whether it's In Person or Virtual. You can also jot a quick note for the teacher here (e.g. "Please discuss reading progress").

    Joining a Virtual conference

    Any Virtual appointment shows a Join Meeting link right under its badge. This opens the teacher's Google Meet room. It's the same link the calendar exports below use, so it works whether you click it here or from your own calendar.

    Matrix view (desktop)

    Click Matrix next to List to see every child's appointments laid out across a single time grid. This makes it easy to spot gaps or back-to-back conferences if you have more than one student. It's a read-only view: booking still happens on Book Appointments.

    Export or print

    Use Export iCal to download every upcoming appointment as a calendar file, or Google Calendar to add them all to Google Calendar in one step. Print gives you a clean printable copy of your schedule.

Join Meeting

The Matrix toggle only appears on tablet and desktop screens. On a phone, List is the only view since there isn't room to show a full grid.

Plans change

Cancelling an appointment

You can cancel from either the booking grid or your appointments list. Both work the same way.

  1. 1

    Find the appointment

    Go to My Appointments → Upcoming, or find the green, checked cell for it on Book Appointments.

  2. 2

    Click Cancel

    On the appointments list, click the red Cancel button in that row. On the grid, click the booked cell itself.

  3. 3

    Confirm

    A confirmation window checks that you meant to do it. Cancelling frees the time slot for another family right away, and can't be undone. If it's a joint conference with two teachers, cancelling releases both teachers' time at once.

  4. 4

    Rebook any time

    Cancelled appointments move to the Cancelled tab so you have a record of them. You're free to head back to Book Appointments and pick a new time, as long as booking is still open.
