Teacher Guide

Step-by-step help with signing in, managing your conference schedule, and tracking conference day. The examples below use sample names, not your real account.

Getting started

Accessing Conferences

Conferences is the district's site for managing your parent-teacher conference schedule. You'll sign in with your school email.

    Open the sign-in page

    Go to your district's Conferences link (this is usually emailed to you, or shared by your school). You'll land on the sign-in screen with three options: Parent, Teacher, and Administrator.

    Choose "Teacher"

    Select the Teacher card to open the teacher sign-in panel.

    Sign in with Google, or use a password

    Most districts sign teachers in with their school Google account. If you'd rather use a password, click "Sign in with email and password instead" below the Google button.

Keeping things current

Your profile and classes

A few settings under My Profile control what parents and Conference Day show for you, and My Classes lets you book straight from your roster.

    Set your Room Number

    Parents see this on In-Person conference days, and it also shows on your own Conference Day cards.

    Add your Virtual Meeting Link

    Do the same for Virtual conferences, then click Save changes.

    Change your password anytime

    The Change Password card lives on the same page.

    Browse My Classes

    Drill down from your subjects to a section to see the full student roster.

  5. 5

    Book straight from the roster

    Click any student who hasn't booked yet to open the same booking form used everywhere else in the app.

Dashboard overview

Signing in takes you to My Conferences, a quick summary of your schedule.

    Three stat tiles

    Total Booked counts confirmed appointments. Available Slots counts open times parents can still book. Breaks Set counts time you've blocked off.

  2. 2

    A district announcement (if there is one)

    If the district has posted a message for teachers, such as a reminder about deadlines or a schedule change, it appears as a banner just below the page title.

  3. 3

    Upcoming Conferences

    A list of everything booked with you: student, parent, and whether it's Virtual or In-Person. Each confirmed appointment carries a green Confirmed badge.

The schedule

Managing your conference schedule

Your schedule lives on Conferences in the left-hand menu. Start by picking a conference window, then work with your own grid of times for each day.

    Pick a conference window

    Each window card shows its date range and how many of your slots are booked, available, and total.

  2. 2

    See your days at a glance

    Opening a window lays out each day as its own section, with a header showing the date, time range, and type: In-Person, Virtual, or both.

  3. 3

    Read the slot colors

    White is open. Blue means you're booked with a parent. Orange means you've marked that time as a break.

  4. 4

    Click an open slot to book it or set a break

    Every open time gives you two choices: Book Appointment or Set as Break. Booking is covered in detail next.

  5. 5

    Print, export, or refresh

    Use the toolbar above the grid to print your schedule, add it to your calendar, export a CSV, or refresh if something looks out of date.

You can only mark a break on an open slot. An already-booked slot can't be turned into a break. See Requesting a cancellation below for that case.

The main event

Creating appointments

Choosing Book Appointment on an open slot opens a short wizard that walks you through everyone needed for the conference.

  1. 1

    Pick the student

    Search or select from your roster. If the student is in more than one of your classes, you'll be asked which class this conference is for.

  2. 2

    Confirm the parent

    The linked parent or guardian shows automatically. If none is linked, you won't be able to continue — ask the office to link one before booking.

  3. 3

    Choose a type

    This step only appears on days that allow both In-Person and Virtual conferences.

  4. 4

    Add additional staff and notes

    Check off any colleague under Additional Staff who should be included on this appointment, such as a co-teacher or aide, then add any optional notes.

    Confirm

    Review the summary and click Confirm to book it.

A parent or guardian must already be linked to the student before you can book their conference. If the Parent step shows a warning instead of a name, ask the office to link one from Admin > Students or Admin > Parents.

Additional Staff is for anyone who should be included on this specific appointment. It's separate from Joint With, which shows when a class is set up as co-taught.

Moving a conference

Rescheduling & changing type

You can move a booked appointment to a new time yourself — no approval needed — or flip it between In-Person and Virtual on a day that offers both. Both actions email the family automatically, and neither is available on joint (co-taught) appointments; use Request Cancellation for those instead.

    Open the booked slot

    Click the booked appointment on your Conferences grid.

  2. 2

    Click Reschedule

    Pick any of your own open times. If the new day offers both In-Person and Virtual, you'll also choose the type.

  3. 3

    Confirm the move

    You'll see a final confirmation before anything happens, reminding you that the parent will be emailed about the change.

  4. 4

    Or just change the type

    On a day that offers both formats, the appointment's details show In-Person / Virtual as two pills — click the other one, confirm, and it updates in place at the same time.

Both actions take effect immediately — there's no approval step. The confirmation screen is just there to stop an accidental click before the family gets an email.

Plans change

Requesting a cancellation

Teachers can't cancel a booked appointment outright. Instead, you send a request to the district office, so there's always a record and someone can follow up with the family. If you'd rather move the conference to another time, use Reschedule instead — it's faster and doesn't need approval.

    Open the booked slot

    Click the booked appointment on your Conferences grid.

  2. 2

    Click Request Cancellation

    This opens a short form instead of cancelling right away.

  3. 3

    Explain why

    Give a brief reason the district office can review.

  4. 4

    Submit and wait for approval

    The slot stays booked until the district approves the request. If the conference is happening very soon, it's worth contacting the office directly as well.

Routing cancellations through a request keeps a record of every change and lets the office reach the family directly, instead of a slot just disappearing.

Day of

Conference Day

Conference Day is built for the day itself: track who's shown up and jot quick notes without leaving the page.

    Pick the date

    Date pills across the top switch between conference days. Today is marked automatically.

  2. 2

    Mark attendance

    Each appointment has an Attended / Not Yet toggle. Click it as each family arrives, or joins virtually.

  3. 3

    See where to meet

    Every card shows the room number or Google Meet link straight from your profile, so you always know where a conference happens.

  4. 4

    Add a note

    Click Add note to jot something down during or after a conference. Notes save instantly.

  5. 5

    Past appointments tuck away

    Once a conference's time has passed, it collapses under "View past appointments" so today's list stays focused on what's next.
